Our planning expertise has guided the successful planning and execution of virtually every type of business gathering with attendance ranging from 10 to 2,500 for events from one day to over a week in length. Our foolproof methods and processes allow us to be a convenient single source for all logistical services pertaining to your meeting or event. We combine creative vision with detail-driven systems and procedures to ensure that your meetings run smoothly.

SITE SELECTION

Whether you need a comprehensive site search or a review of the space you have on hold, MIM provides these services to practically all meetings planned. We make it easy by outlining costs, potential challenges with the space or location, and suggestions to make it work. As aggressive negotiators, cost savings are realized within contracts we oversee.

CONTRACT NEGOTIATION

Our years of industry experience allow us to aggressively negotiate the best terms, to include compliance, attrition, cancellation, non-compete clauses and room block management. In many cases our clients have found that our fee has been absorbed by the savings from these negotiations.

DESIGN SUPPORT

Our creative team consists of experienced personnel who specialize in meetings and events. Generating meeting or event websites, designing logos and providing meeting theme ideas to be carried through all communications (websites, invitations, etc.) and on-site materials (directional signage, name badges, handouts, etc.), as well as generating décor and gift ideas are some of the offerings among other requested services.

ON-SITE SERVICES

MIM provides around-the-clock service onsite to flawlessly manage all aspects of your program (attendee, venue and vendor management, corporate compliance) as well as anticipate and implement any last minute changes or challenges that may arise. Our on-site Meeting Managers create a minute-by-minute schedule of assignments/responsibilities for staff and vendors to ensure best practices throughout the program.

BUDGET DEVELOPMENT

We watch your bottom line as if it were our own. Budget management and cost containment is among our specialties. MIM not only lists all charges you anticipate, but those you don’t as well. And at the close of the program, a final reconciliation is provided with comparative costs (anticipated vs. actual) plus cost savings grids if requested.

PRE-PLANNING

When working with MIM, you are working with seasoned senior-level Meeting Professionals. You immediately benefit from MIM’s years of expertise and experience. Our Meeting Managers “own” their meetings—planning every detail on time and in budget with suggestions for creative add-ons, solutions for challenges that may be encountered, personalized management of VIPs, and detailed communications with both participants and clients.

FACULTY/ATTENDEE MANAGEMENT

Concise and effective communications are essential for a successful program. MIM will develop invitations, registration sites, confirmation packets, travel documents, welcome materials (agendas, name badges, etc.), as well as meeting apps. MIM also manages the trafficking of Consultant and Speaker agreements, as well as providing payments and reimbursements.

COMPLIANCE & REPORTING

Your meeting may require specific government reporting and meeting compliance standards (Sunshine Act, State and Local, etc.) - rest assured our planners are familiar with a great deal of reporting and also able to learn new types of reporting easily and concisely. We have an in-house compliance officer, as well as coordinators specifically trained to provide accurate and timely reporting for any meeting or event type where it is required.

FULL MEETING/EVENT MANAGEMENT: MIM usually plans a meeting from inception through completion and reconciliation, managing everything in between. Site searches, attendee communications, contract trafficking, hotel/venue specifications for the meeting, F&B and off-sites (Teambuilding, Dine-Arounds, Activities) all fall under the umbrella of comprehensive meeting management.

MEETING/EVENT ENHANCEMENTS: Our creative team works hand in hand with our clients, ensuring meeting themes, materials and messages are appropriately represented throughout the meeting or event. We can work with what is already developed, or create all themes and materials, based on requirements.

TEAMWORK/SCALABILITY: Anyone who plans a meeting knows that “things happen” out of the blue for which additional people may be required. With everyone at MIM being a planner, we are able to pull from other teams to focus on a specific program when the need is there. This is done seamlessly and usually, our clients won’t even know about it—all they know is that the issue has been quickly resolved.

As CEO of MIM, Judy works with the management team to implement the company’s strategy. She trains all new hires to adhere to the MIM way, ensuring excellence throughout planning, She has a knack for finding the most effective employees with the right personalities in this specialized market,as well as networking with the best-in-class support vendors.

As VP and Director of Operations, Mark ensures that the staff operates effectively and efficiently. From implementation & adherence of all MSAs as well as SOPs to overseeing software applications and security, Mark is the “go-to” for clients as well as our employees. With his strong background in meetings and incentives, he also oversees teams planning and going on site for many of our larger meetings to orchestrate the events.
